This policy explains how DIT Marketing Tools handles data. DIT Marketing Tools is an internal tool operated by DIT AgTech Pty Ltd. It covers data from Google Ads, Google Analytics, Google Tag Manager and Google BigQuery, and the small amount of information we record about the DIT staff who use the tool. Other DIT AgTech products, including our mobile apps, have their own privacy policies.
Only DIT AgTech employees use DIT Marketing Tools. Staff sign in with their DIT work account through Microsoft Entra ID. There is no public sign-up, and the tool is not intended for anyone under 18. Before any request runs, it is checked against the permissions DIT’s administrators have given that staff member’s team.
DIT Marketing Tools accesses data in accounts that belong to DIT AgTech:
It does not access Gmail, Drive, Contacts, Calendar or any other Google service, and it cannot change or delete anything in BigQuery. It does not access the Google accounts of people outside DIT AgTech.
When a staff member uses DIT Marketing Tools, we record their work email address, their team, the tool they used, the time, the account or property the request concerned, and whether it succeeded. We use this record to enforce permissions, to investigate problems and to keep the tool secure.
The only cookie DIT Marketing Tools sets is a sign-in cookie, which keeps a staff member signed in. It does not use advertising or analytics cookies.
DIT’s administrators add a DIT AgTech service account to DIT’s own Google Ads accounts, Google Analytics properties, Google Tag Manager containers and BigQuery datasets, at the access level each team needs. DIT Marketing Tools uses that service account to read data. It makes a change only when a staff member holds a write permission and has confirmed that specific change.
We use Google data for three things:
We do not use it to advertise to anyone or to build profiles of individuals. We do not use it to train artificial intelligence or machine learning models. We do not use it for any purpose unrelated to DIT AgTech’s own business reporting and marketing.
DIT Marketing Tools runs on a server operated by DIT AgTech in Australia. It returns results to the staff member who asked and does not keep a copy of the reports or query results it returns.
The staff activity record described above is kept for 90 days and then deleted. It does not contain report contents or query results. Service account credentials are stored encrypted and only DIT’s administrators can manage them.
We do not sell Google data. We do not share it with third parties for their own use.
Results are shown to the staff member through DIT’s AI assistant, which runs on Claude, provided by Anthropic. Anthropic processes this data in the United States as our service provider, under commercial terms that do not allow it to train its models on our data.
We may disclose data if the law requires it.
All traffic between staff, DIT Marketing Tools and Google is encrypted in transit. Staff identity is verified through DIT AgTech’s Microsoft Entra ID sign-in. Access is granted per team and per account, and an administrator can withdraw it at any time. Service account keys are never shown to staff, and an administrator can replace them at any time. No system is completely secure, but we limit access to what each team needs.
DIT’s administrators can remove the service account from any Google Ads account, Google Analytics property, Google Tag Manager container or BigQuery dataset at any time. That ends DIT Marketing Tools’s access to it. A staff member’s access ends when their DIT account is closed.
Under the Australian Privacy Principles, staff can ask to see or correct the information we hold about them, or ask for it to be deleted earlier. Send the request to the address below and we will reply within 30 days. If you are not satisfied with our reply, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
DIT Marketing Tools’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
If we change how DIT Marketing Tools uses Google data, we will update this page and its effective date before the change takes effect.
